How to import a PDF bank statement into QuickBooks Online
QuickBooks Online can't read a PDF — it imports only CSV or QBO (Web Connect) files. So the job is two steps: convert the PDF statement to CSV or QBO, then upload it under Transactions → Bank transactions. A QBO file needs the least manual work.
Step by step
- Convert the PDF to CSV or QBO. QuickBooks Online only imports CSV or QBO (Web Connect) files, not PDFs. Convert the statement first. A QBO file imports with the least manual mapping; CSV works but you map columns by hand.
- Open Bank transactions. In QuickBooks Online go to Transactions, then Bank transactions (older accounts call it Banking).
- Upload the file. Choose Upload transactions (use the drop-down by Link account if you are not connecting a live bank feed), then select your CSV or QBO file.
- Pick the account and map columns. Select the QuickBooks account the statement belongs to. For CSV, map Date, Description and Amount (or separate money-in / money-out columns). A QBO file is mapped automatically.
- Review and accept. QuickBooks shows the transactions for review before they post. Confirm the count and a few amounts against the statement, then accept.
The two things that make QuickBooks reject or duplicate a file
Rejected .qbo: QuickBooks only accepts a Web Connect file that names an institution it knows, via a code called INTU.BID. If it is missing or unrecognised, QuickBooks quietly refuses the file. Duplicate transactions: QuickBooks de-duplicates by a per-transaction ID (FITID); if those aren't stable, re-importing the same month creates duplicates. A converter that sets both correctly avoids both problems — LedgerClip's QBO export includes a registered bank ID and deterministic FITIDs.
Do it now
Convert your statement to a QuickBooks file on the converter, or use a per-bank guide, e.g. Chase to QuickBooks or Bank of America to QuickBooks. For cards, see American Express credit card to QuickBooks. Nothing is uploaded — the file is converted on your device.
Questions
- Can QuickBooks Online import a PDF bank statement directly?
- No. QuickBooks Online only accepts CSV or QBO (Web Connect) files. You must convert the PDF to one of those formats first.
- CSV or QBO — which should I use for QuickBooks?
- QBO imports with the least effort because it carries the account and transaction structure QuickBooks expects. CSV works everywhere but requires mapping columns and can need cleanup.
- Why does QuickBooks reject my .qbo file?
- QuickBooks silently rejects a .qbo whose institution ID (INTU.BID) it does not recognise. Use a converter that sets a registered or accepted bank ID. LedgerClip does this by default.
- How do I stop duplicate transactions when I re-import?
- Each transaction needs a stable unique ID (FITID). If your converter sets deterministic FITIDs, QuickBooks recognises and skips duplicates on re-import.
